Are you looking to Set up Domain Email or Business Email on Outlook? If you’re searching for how to set up domain email in Outlook, it means you want to connect a professional email address that uses your own domain name (such as yourname@businessname.com) to Microsoft Outlook.

In this guide, you’ll learn how to set up domain email on different Outlook versions, including Outlook for Microsoft 365, Outlook 2019, 2016, 2013, and 2010. We also cover the prerequisites for configuration, required IMAP and POP settings, server details, authentication options, and step-by-step instructions to help you complete the setup successfully.

Set up Domain Email - outlook

Prerequisites for Setting Up Domain Email in Outlook:

Before configuring your domain email in Outlook, make sure you have:

  • An active business email hosting plan.
  • A custom domain email address (e.g., yourname@yourbusiness.com). You can Set up Custom Email Domain easily if you purchase Email hosting with us.
  • Your email account password.
  • Incoming (IMAP/POP) and outgoing (SMTP) server details from your email provider.
  • Microsoft Outlook installed on your device.
  • A stable internet connection.

Having these details ready will help you complete the Outlook email setup quickly and without errors.

Why Do You Need a Domain For a Business Email?

A domain is required for a business email because it allows you to create a professional email address that matches your brand, such as name@yourcompany.com. Unlike free email services, a domain-based email helps build trust with customers, makes your business appear more credible, and reinforces your brand identity in every communication.

It also gives you greater control over your email accounts, security settings, and user management. As your business grows, you can create multiple email addresses for different departments, making communication more organized and professional.

How to Set up Domain Email on Different Outlook Versions:

1. Outlook 2019 / 2016 / 2013:

Step 1: Open Outlook

Launch Microsoft Outlook from the Start menu on your computer.

Step 2: Add a New Account

Go to the File menu, select Account Settings, and then choose Add Account.

Step 3: Enter Your Email Details

Input your full email address (e.g., you@example.com).

  • For Outlook 2016/2019: Click Advanced options and check “Let me set up my account manually.” Then click Connect.
  • For Outlook 2013: Select “Manual setup or additional server types” and click Next.

Step 4: Select an Account Type

Choose IMAP if you want your emails synced across multiple devices (like your phone and computer), or POP3 if you prefer downloading all emails to this single device.

Step 5: Configure Server Settings

Enter your hosting provider’s mail servers:
    • Account Type: POP3/IMAP
    • Incoming Mail Server: mail.yourdomain.com (or imap.yourdomain.com)
    • Outgoing Mail Server (SMTP): mail.yourdomain.com (or smtp.yourdomain.com)

Logon Information:

    • User Name: Enter your email address
    • Password: Enter the password for the email address.

Step 6: Click on the “More Settings” button once you’ve filled out the above information.

Step 7: Select the Outgoing Server Tab

  • Select the “Outgoing Server” tab in the new window.
  • Check the box for “My outgoing server (SMTP) requires authentication.“
  • Make sure “Use the same settings as my incoming mail server” is selected.

Step 8: Configure the Advanced Tab

Click on the Advanced tab in the same window and update the below information.
    • IMAP server Port: 993 (Select SSL/TLS encryption)
    • SMTP server Port: 465 (Select SSL/TLS) or 587 (Select STARTTLS)
    • Where it says Use the following type of encrypted connection, select TLS in the drop down box.

Once done, click ok and connect the email account in outlook. This process will ensure your Outlook is correctly set up and ready to use.

2. Outlook 2010:

Step 1: Access Account Settings

Go to the File tab, select Info, and click the Add Account button.
Step 2: Configure Account

To configure your business email manually, select the radio button at the bottom: “Manually configure server settings or additional server types“, then click Next.

Step 3: Choose Service

Select Internet E-mail (Connect to POP or IMAP server to send and receive e-mail messages) and click Next.

Step 4: Enter Server Information

  • Enter Your Name
  • E-mail Address

  • Check the box for “My outgoing server (SMTP) requires authentication.“
  • Make sure “Use the same settings as my incoming mail server” is selected.

Step 7: Configure the Advanced Tab

    • Where it says Use the following type of encrypted connection, select TLS in the drop down box.

New Outlook for Windows – Microsoft 365:

Step 1: Open Outlook

Launch Outlook from your start menu or office menu

Step 2: Add Account

Navigate to File -> Add Account.

Step 3: Enter Email Address

Input your email address and click Connect.

Step 4: Authentication

Enter your password

If using two-factor Authentication, complete the verification process

Step 5: Complete Setup

Once connected, click Done.

Important considerations:

1. When upgrading Outlook versions, user profiles are usually migrated; however, it is advisable to back up existing data before proceeding.

2. Ensure you have the correct incoming and outgoing server settings from your email provider

Conclusion

Outlook allows you to efficiently manage your business emails, calendars, and contacts all within a single unified client. Before setting it up, verify that you have an active email hosting plan from a reputable provider like SeekaHost and ensure you have the correct IMAP or POP settings available from your dashboard.
